Astracore is a one-person business in Vancouver, British Columbia, operated by Jeffrey Bowen. It builds and runs AI phone answering and intake automation for service companies. This page explains what we collect, why, who else sees it, and how to get it removed.
If you call 778-771-4555 you are speaking to an AI assistant. It tells you so at the start of the call, and it tells you the call is recorded. We keep the recording, an automatic transcript, and whatever details you give it, such as your name, phone number, email address, business name and what you were calling about.
We use that to respond to you, to book an appointment if you asked for one, and to check the assistant is behaving correctly. If you would rather not be recorded, say so and hang up, or email us instead.
| What | When | Why |
|---|---|---|
| Name, phone, email, business name | You call, write, or fill in a form | To reply and to keep track of the conversation |
| Call recording and transcript | You call our number | To respond accurately and check quality |
| Appointment details | You book a call | To hold the booking |
| Website usage and session recordings | You visit this site | To see which pages work and where people get stuck |
We use Google Analytics for aggregate traffic figures and Microsoft Clarity, which records a replay of your session: mouse movement, clicks and scrolling. It does not capture what you type into form fields. We use it to find parts of the site that confuse people.
If you would rather not be recorded, browser "do not track" settings and most content blockers stop both tools, and the site works normally without them.
We are a small operation and we run on other companies' infrastructure. These are the ones that touch your data:
We do not sell your information, we do not share it for advertising, and we do not give it to anyone else except where the law requires it.
Where our systems connect to a Google account, they use only the access needed to send and read mail for that account and to read and write the calendar and spreadsheets we use to run the service. That access is used to operate the service and nothing else. It is never used for advertising, never sold, never transferred to anyone, and never used to train a machine learning model. Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
Call recordings and transcripts are kept for up to 24 months, then deleted. Contact details and enquiry records are kept while there is a reasonable prospect of doing business, and deleted on request at any time.
We contact businesses by email about our service, using addresses those businesses publish. Every message says who it is from, gives our postal address, and tells you how to stop. Reply asking us to stop and we remove the address the same day and never contact it again. We do not buy or rent lists.
Under Canadian privacy law you can ask what we hold about you, ask for a copy, ask us to correct it, and ask us to delete it. Email contact@astracorevoice.com and we will answer within 30 days. There is no charge.
Access to the systems above is protected by individual accounts with two-factor authentication. We keep the amount of information we hold small on purpose, because the safest record is the one that was never kept.
If this policy changes materially we update the date at the top. We do not notify individually, so check here if it matters to you.
